In GoCo, there are two ways to add permissions for an employee: via their profile page and clicking on the "Permissions" card, or through the Company Page. In this article, we will review how to add via the Company Page.
When logged in, scroll down to the permissions module and click "View".
From there, you'll see a few different sections: Standard Roles, Custom Roles, User Level Permissions, & Special Roles.

Standard Roles:
- If you want to add a standard manager or a full-access admin, click on the correlating text under "Standard Roles".
- From there, you can click "+ Add User".

- Now select your user & click "Save".

Custom Roles:
- If you have a custom role already built out, you can add the user by clicking on the applicable custom role, and then clicking "+ Add"
- If you need to add a new custom role, click "+ Add" from the left-hand menu

- When adding a new custom role, you'll be prompted to name it & then select which permissions you want for this role.

- Once finished adding your new user, click "Save".
Reminder: Custom roles are ideal for situations where you wish to assign the same set of permissions to multiple individuals. In contrast, user-level permissions are designed for scenarios where you need to grant specific permissions to an individual user.
User Level Permissions:
- Click on "User Level Permissions", and then click on "+ Add User Level Permission".
- From there, select the employee list dropdown.

- Once finished, click "Save".
❗Please note: when assigning Permissions to users, you cannot overlap Custom Roles & User Level Permissions. If a user is assigned permissions in one category, the system will not allow them to be assigned permissions in the other.
Special Roles:

Admins cannot add users to Special Roles—this must be done by GoCo’s internal team. If you need to add someone to a special role, please email support@goco.io.
If you need to assign permissions to an external user:

Select "External User" from the dropdown menu when choosing a team member.

Enter their first name, last name, and email address.

They will receive an invitation to join GoCo as an external user, meaning they will have limited access and will only see what has been specifically assigned to them.
By following these steps, you can effectively manage permissions within GoCo to ensure the right employees have the appropriate level of access.
Workflow Users:
- You will find this role appear under special roles. Workflow User permissions are automatic permissions added to anyone who is assigned a task in a workflow. These should not be revoked.
- This is not the same permission as providing permissions to all or any workflows that are not assigned to the user.
