How do I set Document Expiration Dates?

Keeping track of document expiration dates can be a headache, so GoCo makes it easy! Keep reading to learn how to set expiration dates for all documents.

Setting Expiration Dates for Uploaded Documents

When uploading any document to a team member's profile, you will be asked if this document has an expiration date. Simply input the date & let GoCo take care of the rest! Screen Shot 2024-01-24 at 2.59.25 PM

Setting Expiration Dates for Magic Docs

When setting up a Magic Document, to add an expiration date you will need to add a document assignee to "Acknowledge" the document.

When the document is in use & it is ready for that user's step, they will be prompted to both acknowledge the document & set an expiration date if needed.

Reminders for Expiration Dates

Now that your expiration dates are set you will be reminded both 30 days out & on the day that they expire. You will receive this notification in your inbox & it will be sent to both the document assignee for that step and/or the full access admin.

Resend an Expiring Document

Employees cannot upload documents directly to their profiles like Full Access Admins can. To provide employees with a way to upload a document, a Full Access Admin (or someone with the necessary permissions) must send out a new Document to Collect. This can be done either before or after the expiration of the previous request. Once the new Document to Collect is sent, the previous one will automatically archive, eliminating the need to manually delete the expired document.
To resend a document:
  1. Navigate to Documents 
  2. Locate the Document to Collect template 
  3. Click the ellipsis (...) and then select "Send to" to choose the employees you wish to notify.
  4. A new document instance will be created and employees will be notified to upload a new document.
