How to send your Onboarding Invitation via Text Message

Wondering how to send an onboarding invite via text message? Keep reading to find out how!

You asked we listened! Many companies hire employees who are not sitting in front of a computer all day. To effectively communicate with them, sending important information via text message is critical. 

Now, you can send future employees their onboarding invitations via text message right from the hiring workflow! Here’s how:

Sending Onboarding Invitation Via Text Message

Depending on your processes, you will need to either modify your existing hiring workflows or create a new hiring workflow!

To begin editing or creating a new workflow, you will first need to access your Workflows module. To do this, you can either use the navigation tabs on the left side of your screen or find the card on your Company homepage that reads "Workflows".

In your Workflows module, switch to your Templates tab & locate your Hiring Workflows. Here you can decide if you want to edit your existing workflows or create a new one. To create a new workflow, simply hit the blue "+Add Workflow Template" button at the top right of the screen. To edit an existing workflow, click the ellipses button next to the workflow & select "Edit".

Now, in your hiring workflow template, find the task for "Basic Info" and hit the customize button.

💡Hint: this should be under the Hiring group of your workflow

This will display a pop-out screen to the right. Here, find the section for "Personal Phone" & update it to "Optional".

Now X out of this window to find the Review task and hit the "Customize" button. 

💡Hint: ensure that you are clicking on the Review section under the Hiring group, NOT under the Onboarding group.

From the slide-out screen that appears, scroll down until you find the section for Invite Message and click Edit on the message block at the bottom of the form. This is your fully customizable invite message!

You will be redirected to edit your invite message! Here, expand the "Basic Info" section & simply update your message send type to "Text Message".

GoCo will require that you acknowledge if a user opts out of texts, the message will instead go to their preferred contact method. If you don’t always have the personal phone number stored for the employee, GoCo will fall back to their personal email address. Once ready, hit "Save & Continue".

Now review your message & make any changes you wish! 

⭐ Tip: if you know you will be sending this as a text message most of the time, remove the intro and the signature & keep it brief! Here is an example:

Finally, save the message and the hiring workflow template, and you’re ready to start hiring!


All you have to do now is hire a new employee, add their personal phone number under the Contact Information section, and they will receive the invitation directly to their phone!

When you get to the Review step of your hiring workflow, click Finish and the text invitation will be sent immediately. (You still have the option to edit the message before finishing.)


Clicking the rich message link, they will see:


Your company does not have to have the Messages feature enabled to utilize this feature. However, if your company has the Messages feature enabled, the invite message will appear on the dashboard.
