Easily Import Hours, Reimbursements, and Bonuses for a Pay Run

Need to add hours from an external source for a pay run? Use GoCo's Time & Pay import option!

Before we start, ensure your spreadsheet is set up for success & review these quick questions before you get started!

  • What fields are required for a successful import?
    • You must include Employee ID on your spreadsheet. You can find these values by building a GoCo custom report with "Employee Name" & "Employee ID". For more information on how to create a custom report in GoCo, check out this help article.

    • Other fields that are not required, but may be useful are:
      • Social Security Number (The system you are using should ideally have a social security number tied to each employee. This will make it easier to map your information in the later steps of the process.)
      • Employee Name & the pay types you are trying to import, for example, Overtime Hours, Vacation Hours, etc. 
  • Can I import multiple jobs at once?
    • Currently, that is a limitation of our import feature and is not supported.
  • How can I accommodate for types of pay at a different rate (ie, Holiday Pay)?
    • You'll need to add an extra column corresponding to that pay rate.
    • For example, if "Holiday Hours" is paid at 1.5x the regular wage, you must include a "Holiday Pay Rate" column with the correct wage amount. Otherwise, GoCo will assume that the "Holiday Pay Rate" is the same as the "Regular Pay Rate". Here's an example of what the spreadsheet might look like:Screen Shot 2023-11-14 at 9.39.16 AM
  • What types of files are accepted by the import wizard?
    • The import wizard only accepts Microsoft Excel & CSV file types - it will not accept JPEGs, PDFs, Word Documents, etc.
  • What if I have information on multiple workbooks to bring in?
    • GoCo's import wizard allows you to import multiple files, however, please note that if you bring in information regarding the same employee on each sheet then the most recent import will override the previous one. If you are utilizing multiple sheets to bring in information regarding different employees then you're good to go! You will simply have to complete one import before moving on to the following. 
  • What if I have information on multiple spreadsheets within 1 workbook to bring in?
    • GoCo's import wizard allows you to select which sheet you'd like to pull information from. Once you select your file to import you'll be met with this screen to make your selection.

Now that your spreadsheet is ready, let's learn how to import it into GoCo!

  1. Start your pay run in GoCo
  2. After the payroll populates, click the "Import" button on the upper right-hand side of the table

  3. A window will appear to select your import file.

  4. Review the mapping of the columns in the spreadsheet with the corresponding fields. 
    (💡Since GoCo utilizes Flatfile, the next time you import it will remember what fields you previously mapped. Isn't that neat!?)

    1. ⭐HINT: If you do not want a column to be included, simply "X" it out. (if you forget to do this at this step, you can do so in the next step as well)

5. Once everything is mapped click "Continue"

6. You'll now be taken to a new page to review errors or add any missing information. If there are errors, you will be asked to review and either fix or continue without fixing

    1. ⭐HINT: Hover over the red cell - it will let you know what the error is
    2. To resolve the error or add any information that you forgot to input, click on the cell & update.Screenshot 2024-02-13 at 2.09.45 PM (1)
    3. If you decide to continue without resolving the error, those hours will not be imported for the employee. You'll notice them removed from your count on the next screen. 
7. If everything looks good, click "Import Hours", and you'll be shown a summary of your changes. Screenshot 2024-02-13 at 2.17.56 PM
8. Once imported, you'll be redirected back to the pay run and see a nifty "import" symbol on any employees who have imported hours. You will now continue your pay run in GoCo! 🎉
