Everything you need to know about Workflow Groups and Tasks

What are tasks?

Tasks help execute a list of to dos.They can be completed one at a time or in any order. This can be modified in the workflow settings.

“One by one” is great for workflows that must be completed in a certain order, like an approval process. 

  1. Team member request reimbursement
  2. Manager approves
  3. HR approves
  4. Finance inputs into payroll

Choosing “In any order” will send out all the tasks at the same time. The tasks are not dependent on one another. 

  • Set team member up with Project software
  • Set team member up with Expense software
  • Set team member up with CRM
  • Schedule welcome meeting with team member

Assigning Tasks:

  • Can be assigned to 1 or many team members
  • Can be assigned to a work group (location, division, etc)
  • Can be assigned to an external user

More fun facts about tasks: 

  • Can set a date for the task to kick off (start date)
  • Can set a due date for the task

  • Can determine whether the team member the workflow is for has access to view any task in the workflow.

  • Can enable/disable commenting

What are groups?

Task groups are optional but serve 2 purposes:

  1. Organize workflows with lots of tasks (by department, by assignee, by theme)
  2. Groups allow you to adjust the order the tasks will be completed within in that group, even if it differs from the rest of the workflow.
