When Will My Company’s Payroll Tax Documents Be Available?

GoCo released a feature for clients using GoCo's Embedded Payroll allowing you, the Administrators, to easily access all of your company's payroll documents directly within GoCo. Here is when can you expect the documents to be available.

Typical Payroll Tax Filing Due Dates

Once forms are submitted on your behalf, they will be available in the Documents. While specific due dates may vary based on your jurisdiction and filing frequency, here are the general timelines for common payroll tax filings:

Federal Income Tax Withholding (Form 941 or Form 944)


Quarterly Filers (Form 941):
  • 1st Quarter (Jan-Mar): Due by April 30
  • 2nd Quarter (Apr-Jun): Due by July 31
  • 3rd Quarter (Jul-Sep): Due by October 31
  • 4th Quarter (Oct-Dec): Due by January 31 of the following year
  • Annual Filers (Form 944): Due by January 31 of the following year


FICA (Social Security & Medicare Taxes)
Typically filed with Form 941 or Form 944, following the same quarterly or annual deadlines as listed above.


FUTA (Federal Unemployment Tax Act)
Annual Filing (Form 940): Due by January 31 of the following year.
If all FUTA taxes were paid on time, the deadline extends to February 10.

 

State Payroll Tax Due Dates

State Income Tax Withholding: Due dates vary by state and may be monthly, quarterly, or annually, depending on your payroll size and state requirements.


State Unemployment Insurance (SUI): Most states require quarterly payments, with deadlines similar to federal 941 filings. Specific dates can vary by state.


State Disability Insurance (SDI): For states with SDI (e.g., California, New Jersey), payments and filings are often due quarterly or annually, depending on the state.


Local Payroll Taxes

Local Income Tax: If applicable, local payroll tax due dates typically align with state tax filing schedules but can vary by locality.

Year-End Reporting


W-2 Forms: Employers must send W-2 forms to employees and file them with the Social Security Administration by January 31. However, GoCo Embedded Payroll will make W2s available for pre-filing view. 
Form 1099-NEC (for non-employee compensation): Due by January 31.

Make sure to confirm specific deadlines with relevant tax agencies for federal, state, and local obligations, as they may differ based on your filing frequency and jurisdiction.

If your expected document is not available after these due dates, you can log directly into the Payroll Jurisdiction portal to verify payments and filings made on your behalf.
