There's a lot to consider when resetting your payroll run in GoCo's Embedded Payroll - read more below!
When you start a payroll run in GoCo, it captures a "snapshot" of all employee data at that specific moment and pulls it into the payroll run. Any changes to employee information made after the payroll is started (such as salary adjustments, title changes, new hires, etc.) will not automatically be updated in that payroll. The payroll run remains frozen with the data captured at the start unless you choose to refresh it.
❗Before refreshing, keep in mind:
- Any changes made to Needs Review employees will be lost and need to be validated again.
- Any manually added Earnings, Time Off, or Regular Hours will be removed and need to be added.
- All One-time bonuses or reimbursements added to this payroll will be lost and must be added again.
You may want to refresh your payroll if:
- You’ve made changes to employee profiles, such as approving life events, and updating salaries, employment details, or addresses.
- You forgot to terminate employees or set up their final paycheck method, and you need those updates reflected in the payroll run.
- Time Tracking or Time Off hours were approved late and aren’t yet included in the payroll.
Refreshing gives you the flexibility to capture those important updates before finalizing your payroll.
How do I refresh a payroll run?
Refresh an Entire Payroll Run
To refresh an entire payroll run, when you are in the payroll grid, hit the ellipses button next to the "import" and "download" buttons.
A "Refresh Payroll Data" button will appear. Click this to refresh your data.
A pop-out window will appear confirming your choices, hit the blue "Refresh Payroll Data" button. This will restart payroll for all employees included in this payroll run.
Refresh Individual Data
To refresh payroll data for an individual, hit the ellipses button next to that user's name to display the option to "Refresh Data".
Your data will then refresh for only that employee.
⭐ Refreshing payroll data for an individual is a great option when you do not want other payroll data, such as manual entries, to be disturbed and required to be re-entered. For example, perhaps you've made changes outside of payroll for 5 out of your 150 employees - instead of refreshing your entire payroll run, try refreshing only those employees.
Your team's data will be refreshed and you can continue with your payroll run! As a reminder, if you refreshed the entire payroll run, be sure to re-review any Needs Review changes you previously made.
