How to add Offline Deductions in GoCo

In GoCo, an offline deduction is any deduction that is not auto-calculated with our benefits module. A common example is Pet Insurance, but the possibilities are endless! GoCo allows you to add both "One-Time" and "Recurring" Deductions. A "One-Time" Deduction only applies to that current pay run and will not be deducted from the employee on future runs. A "Recurring" Deduction, once set up, will be taken out of every scheduled pay run after. This article will cover both.

Adding a one-time offline deduction:

  1. Start your payroll in GoCo
  2. Click on the employee you want to add a one-off deduction for

    Note: You cannot add/edit a % value, only dollar amounts

⭐ Remember, this is a one-time deduction so this will only apply to this pay run & will not appear on the employee's next scheduled pay run. 

Adding recurring offline deductions:

  1. Login to GoCo and navigate to the employee you want to add an offline deduction for.
  2. Click on the employee's "Payroll" card

  3. Once it expands, you will see an area for deductions. To add a deduction, click "+ Add"
  4. A pop-up will appear and you will need to fill out the following:Screenshot 2024-10-08 at 2.57.32 PM
    1. Deduction Type: select the type of deduction you are adding (for more information on the fields included in deduction types, please click here).

    2. Deduction Amount: depending on what deduction type you are setting up, you will have two options - a flat dollar amount or a % of wages
      1. 🌟 Hint: if you are entering a % value, you need to format it as a whole number, not a decimal. (ie. for 3%, you would enter "3", not ".03")
      2. When setting up a deduction that includes employer contributions and annual limits, such as a 401k plan, you will have the opportunity to incorporate these contributions during the employee information update process.Screenshot 2024-10-09 at 3.28.20 PM

    3. When do you want the deduction to take effect:
      1. Immediately: this deduction would take effect immediately and you would see it on the upcoming paycheck
      2. In the future: this deduction would take effect per the effective date you selected
  5. Click save and you are done 🎉

⭐ Remember: This is a recurring deduction, so moving forward you will see this deduction automatically applied to this team member on future pay runs.

Frequently Asked Questions:

What frequency will these deductions come out?

Again, this depends on what type of deduction you set up: a recurring deduction or a one-time deduction. Recurring deductions occur per paycheck, meaning that any offline deductions you set up for an employee will be automatically deducted from their earnings during each pay period. A one-time deduction will only be taken out once on the pay run that they were added to.

Who can add/edit offline deductions?

Currently, only an admin with full access to GoCo can add, edit, or remove offline deductions in GoCo. If you see a deduction that looks wrong or you want to change, reach out to your admin!

What types of deductions does GoCo support?

GoCo supports the following deductions.

Medical (pre-tax)

Dental (pre-tax)

Vision (pre-tax)
Health Savings Account (pre-tax)
Health FSA (pre-tax)
Dependent Care FSA (pre-tax)
Commuter Transit (pre-tax)
Commuter Parking (pre-tax)
Short Term Disability (pre-tax & post-tax)
Long Term Disability (pre-tax & post-tax)
Group Term Life (post-tax)
Voluntary Life (post-tax)

Why do some deductions show a "lock" symbol?

If you see a lock symbol next to a deduction, that means the deduction is being fed from your benefits in GoCo, and therefore cannot be edited. If the deduction value seems wrong, it could have to do with how your benefits are configured. Please reach out to your admin or dedicated GoCo CSM.

Can I add a limit or cap to an offline deduction?

Currently, you cannot add a cap to an offline deduction in GoCo.

I don't see the deduction type I need to add, what do I do next?

In order to add a new deduction code, you will need to reach out to your GoCo Payroll Specialist. Once they add it on their end, it will show up in GoCo on the next day.

What about garnishments? Can we add those as offline deductions?

All garnishments must be sent with documentation to your Payroll Specialist at GoCo. 

Can I mass import offline deductions?

At this time, there is no import option for adding offline deductions.

Can I run a report on all offline deductions that are in employees' profiles?

Yes! Those field names are available when you build custom reports in GoCo.
