      ADP Workforce Now API

      Seamlessly sync your payroll data from GoCo to ADP Workforce Now

      Choose the synchronization option that best suits your business needs:
      1. GoCo-Led Synchronization (Full HR Sync Type):
        • GoCo acts as the primary source of truth, automatically syncing the following data one-way to ADP WFN:
          • New Hires
          • Team Member Data
          • Tax Withholdings
          • Direct Deposit Information
          • Pay
          • Deductions
          • Terminations
      2. ADP WFN - Led Synchronization (Ben Admin Sync Type):
        • ADP WFN is the primary source of truth for key employment data:
          • New Hires
          • Terminations
          • Team demographic information
        • GoCo is the source of truth for managing benefit deductions.

      How to Set Up the ADP WFN API?

      Navigate to the Marketplace, search ADP Workforce Now, and click setup. There are just a few steps to take to set up the connection!

      1. Set Up Connection: Enter your ADP WFN Account ID
      2. Sync Type
        1. Ben Admin: New hires are synced from ADP WFN to GoCo. Benefit deductions are synced from GoCo to ADP WFN
        2. Full HR: All employee, compensation, and benefits data is updated in GoCo. It will be synced from GoCo to ADP WFN
      3. Sync Team Members: This will connect to ADP WFN to fetch all the employees and link them to employees in GoCo using SSNs to match. Employees who do not exist in GoCo will be created and set to Incomplete.
      4. Map Data: Map these fields in GoCo to the fields in ADP WFN
        1. Deductions (Full HR and Ben Admin)
      5. Launch the ADP WFN API integration!

       

      What is Synced by the API

      The API will not be triggered automatically, someone will still need to navigate to the payroll sync dashboard and run the API. 

      New Hires

      New hires will appear on the dashboard after they've onboarded based on your payroll settings. The dashboard options are either before the first pay date or immediately.

      When a new hire is added in GoCo and the API is ran, their information will be transferred to the “in-progress” section in ADP WFN. From there, it would need to be manually processed through the new hire flow in ADP WFN to complete the add. Not all data is synced, so it would be manually included at this stage.

      Manual Data Entry:

      • State Taxes
      • Managers
      • Org Code, Labor Code, and Custom Fields

      Ongoing Changes

      The API also handles updates to existing employee information to ensure data consistency between GoCo and ADP WFN. This includes:

      • Personal Information: Name, Date of Birth (DOB), Social Security Number (SSN), Phone, Address, Email
      • Employment Information: Job Title, Work Location, Department, Start Date, Employment Type
      • Compensation: Salary Rate, Hourly Rate
      • Federal Tax Withholding
      • Direct Deposit
      • Deductions

      What is Not Synced by the API

      There are certain data types that the ADP WFN API does not handle at all. These will be managed separately in ADP WFN:

      • Paystubs
      • Time Data: Information regarding employee hours and time tracking

      Conclusion

      While the GoCo ADP WFN API integration significantly reduces manual data entry by syncing many key fields, certain areas still require manual intervention. Understanding these areas will help ensure that your payroll and employee data remain accurate and up-to-date.
