Understanding Embedded Payroll Statuses

When processing payroll, our embedded payroll partner, Gusto, uses a series of statuses to track payroll stages. Each status has specific timing and actions that impact payments, adjustments, and bank transactions. Here’s a guide to each payroll status and what actions you can take at each stage.

Payroll Overview 


Status Description  Actions Available Impact on Payments & Bank Transactions
Unprocessed Default state when payroll is created but not submitted. Adjust employee payroll info; save & return later No bank transactions initiated. No payments or debits are made.
Submitted Payroll submitted by the admin, initiating processing (bank transactions pending). Cancel before 4 PM CST if needed No bank transactions yet, but processing is underway.
Cancelled Canceled payroll submission. Must cancel before 4 PM CST on submission day to avoid any transactions. If you intent to pay your employees still, re-submit. Otherwise, you can archive the pay run. No impact on payments; payroll is halted with no transactions.
Pending Bank transactions initiated. After this, a reversal request is needed for changes. Contact support for reversals Funds are pulled from the company account; payroll is non-reversible.
Processed Final stage: Payroll is completed, and all bank transactions have cleared. None Employees are paid; deposits may vary by bank.

  • What should I do if the status seems incorrect?

    • Contact embeddedpayroll@goco.io with any concerns about status changes, especially if funds have not been debited or payroll appears delayed.
  • How does each status impact my company’s bank account?

    • Pending Status: Bank transactions initiate, debiting the company account.
    • Processed Status: All transactions have cleared, meaning employee payments have been completed.
  • When will employees receive their deposits?

    • Direct deposits typically reflect on the morning of the pay date, but exact timing may vary based on each employee’s bank.
