How-To Run a Successful Team Import

Why use a team import? If you're adding new team members or making bulk updates to existing ones, a team import allows you to complete the process quickly and efficiently—saving you time compared to updating each profile manually.

Let’s dive into how-to run a successful team import! Navigate to the left hand panel and click into Import and then Team Members v2. First you’ll choose between whether you want to Import New Team Members or Update Existing Team Members. Follow the steps below to make changes. 



Step 1:  Who are we importing? 

Select from the following Team Member Types:

  • Employee
  • Contractor
  • International
  • Terminated

📌 Field Selection: Depending on what you're updating, you'll be prompted to fill in specific fields. (See screenshot below.)

📌 If a required field doesn’t apply, leave blank in the spreadsheet

Step 2: Set the Effective Date (If Updating Existing Employees)

You'll be asked to select an effective date for the updates. Choose from:

  • Same Effective Date for Everyone
  • As of… Team Members Start Date
  • I’ll Determine Each Manually 


Step 3: Upload & Map Your Data

📌 Option 1: Get Started on Editing or Uploading Your Spreadsheet

  1. Click Get Started to begin.
  2. If updating existing employees, GoCo will automatically pull their current data.
  3. You can:
    • Enter missing details directly in the GoCo spreadsheet OR
    • Upload an external spreadsheet (Navigate to the Files section on the left-hand panel).

⚠️ Important: Ensure there’s no duplicate data (people) in your import file, as this may cause errors. 

📌 Option 2: Invite Collaborators

Need help? You can send an email link to invite a collaborator to assist with the import.

Step 4: Map & Validate Your Data

  • GoCo will map the headers from your spreadsheet to existing fields.
  • Double-check field mappings to ensure accuracy on the Data Checklist tab.

  • Navigate back to the Employee tab and click Validate to check for errors. You'll see a pop-up confirming it's ready for import.

Step 5: Review & Finalize Your Import

Navigate back to the Employee tab and click Validate to check for any errors, once complete you’ll get a popup saying the validation is complete and it’s ready for import!

Tips: Each tab has its unique valid and invalid identifiers. Filter by selecting the invalid tab and make your adjustments.

  • How can I quickly find errors in my import?
    • Use the Invalid Entries Filter to easily sort and correct any issues.

  • Can I customize my data view?
    • ✅ Yes! You can:
      • Sort columns (e.g., A-Z)
      • Pin important columns for easy reference
      • Use Find & Replace to make bulk changes faster

  • Can I save my customized view for future imports?
    • ✅ Absolutely! After making adjustments, you can name your view and save it for future use.
  • What other tools are available under the "Actions" tab?
    • 📌 The Actions tab offers additional key features:
      • Download invalid entries for offline review
      • Transform your data is a nifty tool similar to Excel manipulation
        • Extract: Easily extract partial or complete text from one or more fields.
        • Combine: Combine data from multiple fields to replace or populate data in the field of your choice.
        • Transform: Describe how you want data in a field to be transformed based on any logic.
        • Calculate: Populate numeric fields by describing the calculation.
